This Privacy Policy explains how Cinergy Entertainment Group (“Cinergy,” “we,” “us,” or “our”) collects, uses, and protects information in connection with the Cinergy Training Platform and the RelayHQ team‑communication application (together, the “Service”), available on the web and as mobile applications for iOS and Android.
The Service is a private, internal tool intended for authorized Cinergy employees and approved personnel. It is not a consumer product and is not directed to the general public.
1. Information We Collect
Account and employment information
Your account is created from your employer's staffing roster. This information may include your name, work and/or personal email address, mobile phone number, work location, department, job title, and role. A temporary initial password may be derived from information on file until you change it.
Information you provide in the Service
When you use RelayHQ and the training tools, we collect the content and activity you create, such as messages, replies, reactions, polls and event responses, group memberships, a profile photo if you upload one, and images or GIFs you share. We also collect questions you submit to the in‑app assistant (“Ask Reel”) and training progress and sign‑off records.
Technical and device information
We automatically collect basic technical data needed to operate the Service, such as log data, approximate session information, app version, and, if you enable notifications, a push notification token for your device. We do not use the Service to track your location in the background or serve advertising.
2. How We Use Information
- To create and manage your account and authenticate your sign‑in.
- To place you into the correct training resources and communication groups based on your location, department, and role.
- To deliver messages, notifications, and alerts (including push notifications for new messages, direct messages, and mentions).
- To provide the in‑app assistant and other training features.
- To help keep the Service safe and professional, including automated screening of messages and uploaded images for inappropriate or unsafe content.
- To provide support, maintain security, prevent misuse, and comply with legal obligations.
3. How Information Is Shared
We do not sell your personal information, and we do not use it for advertising. We share information only as needed to operate the Service:
- Within Cinergy. Your name, role, and the content you post in a group are visible to other authorized members of that group, and to managers and administrators as appropriate to their responsibilities.
- Service providers (data processors). We use trusted vendors who process data on our behalf under confidentiality obligations, including Supabase (authentication, database, and file storage), Netlify (application hosting and serverless functions), OpenAI (to generate responses for the Ask Reel assistant), GIPHY (to search for GIFs you request), and Apple and Google (to deliver push notifications to your device). We may also use an email delivery provider for account and system messages.
- Legal and safety. We may disclose information if required to comply with the law, enforce our policies, or protect the rights, property, or safety of Cinergy, our employees, or others.
4. Data Retention
We retain your account and related information for as long as you are an authorized user of the Service. When your employment or authorization ends, your account is deactivated as part of a roster update, and associated personal information is retained only as long as reasonably necessary for legitimate business, legal, or security purposes, after which it is removed or de‑identified.
5. Security
Information is transmitted over encrypted connections (HTTPS/TLS) and stored on secured, access‑controlled systems. Access to personal information is limited to authorized personnel and enforced by role‑based access controls. No method of transmission or storage is completely secure, but we work to protect your information using reasonable administrative, technical, and physical safeguards.
6. Your Choices and Rights
- You can review and update parts of your profile within the Service, and you can enable or disable push notifications through your device settings.
- You may leave a group at any time from within the app.
- To request access to, correction of, or deletion of your personal information, contact us using the details below. Because accounts are tied to employment records, some requests may be handled together with your manager or Human Resources.
7. Children's Privacy
The Service is intended for use by Cinergy employees and authorized personnel in connection with their work. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Where team members are minors under applicable law, the Service is used solely in the context of their employment.
8. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Continued use of the Service after an update means you accept the revised policy.
